How to Switch Office Cleaners Without a Gap in Cleaning

In short: check your current contract's notice period, get a new cleaner to inspect and quote while the old contract is still running, write down everything your current cleaner keeps missing so it goes into the new scope, and set the new start date for the day after the old service ends. Most businesses looking for a commercial cleaner aren't hiring their first one. They are replacing a cleaner who stopped turning up, cut corners or stopped answering the phone. Switching is simpler than it looks.

Step 1: Check your current contract

Find three things in your agreement:

  • Notice period: how many days or weeks' written notice you need to give
  • Minimum term: whether you are locked in until a certain date
  • Keys, cards and codes: what needs to be returned or changed at the end

If there is no written agreement, give reasonable written notice and keep a copy.

Step 2: Write down what is going wrong

Before you talk to a new cleaner, list the problems: areas that are always missed, bins left full, bathrooms not stocked, late or skipped visits. This list is the most useful thing you can give a new cleaner, because it goes straight into the new scope of work.

Step 3: Get an inspection and proposal while the old contract runs

A good cleaner will inspect your site, ask about the problems on your list, and send a written proposal that says:

  • every task and how often it is done
  • what time the cleaning happens
  • how you report a problem and how fast it is fixed
  • the price, and whether there is a minimum term

You don't need to tell your current cleaner until you have a proposal you're happy with.

Step 4: Time the changeover

Give notice to your current cleaner, then set the new cleaner's first clean for the day after the old service ends. Arrange keys, swipe cards, alarm codes and building inductions in the final week so the new team can start on time.

Step 5: Check the first few cleans

Walk through the office after the first clean, or ask for photos. Point out anything that doesn't match the scope straight away. The first two weeks set the standard.

  • Ask for proof of each clean. Photos after each visit mean you don't have to check every morning.
